Administrative Assistant - Executive Office

POSITION SUMMARY 

The Administrative Assistant for the Executive Office works as a team member providing senior-level professional assistance for the Executive Office and Leadership Team members. The Administrative Assistant will provide direct assistance to specific Leadership Team members in addition to serving on a team that serves the full Leadership Team. The Administrative Assistant will work under minimal supervision, with latitude for the use of initiative and independent judgment and decision-making.  The position requires independent management of work but also collaboration with a team – both the Leadership Team, as well as the Administrative Support Team. This position requires a high level of confidentiality.  

POSITION FUNCTIONS   

  • Leadership Team Members’ Administrative Assistant: Serves as the Administrative Assistant to the Senior VP of External Relations and the VP of Strategic Communications. Duties may include, but are not limited to, project management, appointment scheduling, mileage tracking, correspondence, budget monitoring, and other tasks as needed to assist Leadership Team members in their roles.
  • Budget: Processes all check requests, PO’s, etc., for all Leadership Team members. Additionally, reconciles p-card transactions for various Leadership Team members.
  • Faculty Credentialing: Manages the faculty credentialing process, ensuring that all current and new faulty are properly credentialed to meet SACSCOC standards.
  • Publications: Maintains Tornado Times pages for Provost and Executive Team, including posting the President’s Monday Morning Memo, and is the primary web editor support for Leadership Team.
  • Special Events: In conjunction with other Administrative Assistants, plans and/or assists with all internal events associated with Leadership Team to include the Honors Convocation, retirement celebrations, commencement, Tie-The-Bow, Celebration Journey, Spring Awards Ceremony, President’s Forum, and others as needed.
  • Special Projects Manager: Serves as the special projects coordinator for the Executive Office.
  • Performs other related duties as assigned.

POSITION REQUIREMENTS

  • Bachelor’s degree or equivalent experience preferred.
  • 3 to 5 years’ experience providing administrative support, preferably with 2 years in higher education.
  • Advanced knowledge of MS Office Suite
  • Competency in web editing and Banner preferred
  • Strong organizational and problem resolution skills with ability to set priorities, independently develop a work schedule and work in a team atmosphere
  • Ability to handle administrative issues, to analyze and solve work-related problems, and to assign and supervise the work of others
  • Excellent customer service skills and ability to interact professionally within all levels of the organization
  • Highly effective communications skills, both verbal and written
  • Ability to maintain confidentiality and work with a high level of integrity
  • Ability to interpret and abide by CTX’s values, mission, policies and procedures

PHYSICAL REQUIREMENTS

  • Repetitive use of a keyboard at a workstation.
  • Must be able to occasionally lift boxes up to 30 lbs.
  • May have extended hours during peak times.
