Assistant Director - Student Financial Services

POSITION SUMMARY 

Supports Concordia’s vision and mission by supervising the processing of financial aid applications efficiently and effectively while also organizing technical processes and data management.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provides excellent customer service to all CTX constituencies to include:

  • Provide Student Financial Services representation on various teams involved in cross-functional system and procedural issues within the University
  • Administer financial aid programs according to federal and state regulations as well as institutional policies
  • Maintaining student interface system (MyInfo in Banner)
  • Maintaining/editing Student Financial Service’s webpage
  • Provide adhoc reports as needed
  • Returning phone calls and e-mail in a timely manner
  • Supports the Director with special projects and/or any required task as needed and keeps the Director well informed of timelines.

Oversees data processing duties to include:

  • Processing application records to/from the US Department of Education
    • Administering Auto-Packaging jobs
  • Batch assignment of ‘C’ flag comments and tracking group codes
  • Banner new aid year roll
  • Running BANNER popsels
  • Creating and/or modifying BANNER forms
  • Pulling statistics via the Data Warehouse
  • Test all system upgrades
  • Organizing and prioritizing information
  • Running multiple standard reports
  • Submit FAD cycle reports to THECB

Supervision

  • Supervises part-time office Coordinator
  • Supervises two Financial Aid Processors 

Acts as a liaison with other departments and external contacts, to include:

  • Works with Accounting Office to insure accuracy of student refunds
  • Assisting Student Central and Admissions by providing reports on students in various stages of the financial aid application process
  • Act as Information Technology staff liaison

POSITION REQUIREMENTS 

  • Working knowledge of Concordia University Texas’ vision and mission; ability to articulate and support University values and Code of Conduct; and ability to interpret and abide by University policies and procedures
  • Demonstrated planning and organizational skills
  • Demonstrated proficiency using MS Office including MS Word, Excel, PowerPoint and Outlook
  • Experience with other software such as Banner or other financial aid software, Web Tailor and Oracle SQL Developer a plus
  • Ability to set priorities, meet deadlines, manage administrative projects and multi-task with minimal supervision
  • Ability to work independently or as part of a team
  • Ability to communicate orally and in writing
  • Ability to operate an IBM compatible computer and other standard office equipment
  • Ability to interact with all levels of the organization
  • Ability to navigate the Internet
  • Knowledge of financial/fiscal record keeping, accounting activities and/or reconciling budgets
  • Knowledge of financial aid, billing, and university policies
  • Ability to interpret policies pertaining to the function of Student Financial Services
  • Skill in providing customer service to all CTX constituencies
  • Willingness and ability to study updates to procedures and compliance issues and to consider new processes.  Ability to identify problems and recommend solution.
  • Must be punctual and consistent with strong work ethic

REQUIRED EDUCATION / EXPERIENCE

  • Bachelor’s Degree plus 3 or more years of direct financial aid management or related experience.

SPECIAL WORKING CONDITIONS

  • May have occasional travel (short term) for compliance and procedure seminars or presentations.
  • Must occasionally lift up to 30 lbs.
  • Ability to function in periods of high stress and conflict.

PHYSICAL REQUIREMENTS

  • Occasional moderate lifting, 25 pounds
  • Travels less than 10% to attend professional meetings, support main campus activities, and professional development conferences
