IncubatorCTX: Administrative Assistant (part-time)

POSITION SUMMARY 

If you are energetic with an upbeat, can-do attitude and entrepreneurial spirit, then we should connect. You must be attentive to detail, task oriented and efficient. This commitment lasts through the current fiscal year ending 6/30/22 and may be renewed thereafter. IncubatorCTX’s Administrative Assistant will assist with scheduling, invoicing/collecting rent, on-boarding new members, expense/budget reports. You must be willing to work diligently and be open to constructive feedback. The benefits of this position are that over time, you will learn the operations side of managing IncubatorCTX. You will meet cutting-edge business and entrepreneurial leaders. Hours are 9AM-3PM on Mondays, Wednesdays and Thursdays with a break for lunch. You will be spending approximately 15 hours per week working primarily onsite in IncubatorCTX and/or virtually during business hours completing the following:

 POSITION FUNCTIONS

  • Rent Collection (make sure customers are paying invoices sent via our invoicing software)
  • Expenses (assist with expense and budget reports)
  • On-boarding new members (following up with members to get IDs, parking passes, access)
  • Maintaining and updating mailing lists
  • Scheduling
  • Responding to requests for space on LiquidSpace, DeskPass and similar platforms
  • Special projects as assigned

POSITION REQUIREMENTS

  • Attention to detail
  • Excellent verbal and written (grammar & punctuation) communication skills
  • Ability to interact with the public and represent the University and IncubatorCTX with a polished professionalism
  • High level of responsibility, including the ability to take initiative, be on time and complete tasks with a superior level of excellence
  • Superior technology skills with Word, Excel, PowerPoint, and willingness and aptitude to learn new functionalities of technologies specific to the office, including Constant Contact/Emma, Calendly, Canva, Eventbrite, and Wordpress
  • Ability to articulate and model the Concordia University Texas mission, vision and value

  • Multiple trips walking around campus

  • Hourly rate depends on experience
