Student Experience & Events Coordinator


The Student Experience & Events Coordinator supports Concordia’s mission, vision and values by coordinating key events and delivering high quality experiences for students throughout their recruitment and enrollment at CTX. This position is responsible for managing inbound calls and live chats to the University, specifically for Enrollment Management (EM); overseeing and coordinating the visit and appointment setting for EM student-facing offices; and developing and executing recruitment and retention events, including orientations, throughout the student lifecycle. This position serves as a first impression for campus guests, staffing the Welcome Center front desk, and works collaboratively with other team members and departments to ensure the best student service possible for all student populations - traditional undergraduates, transfer students, adult learners, and graduate students.  


  • Customer Service: 
    • Welcome campus guests and students in a hospitable and caring manner.
    • Manage inbound calls and live chats and coordinate with IT to ensure the phone system is working optimally.
    • Ensure inbound communication is routed properly and that response is timely. 
    • Listen and discern student needs and provide appropriate solutions professionally.
  • Communication & Engagement: 
    • Be the key, front-facing representative of the Office of Admissions and oversee the Welcome Center.
    • Train Admissions and Student Central staff in best practices for student engagement in all modes of communication.
    • Serve as primary interdepartmental liaison and clearly communicate to the campus community about EM student experience-related items.
    • Maintain visit and event information on the website and Tornado Times.
    • Collaborate closely with Marketing to develop and manage all recruitment print materials and promotional items.
  • Coordination & Planning: 
    • Continually and creatively enhance recruitment and retention events while delivering measurable outcomes that positively impact enrollment.
    • Plan and execute all EM-hosted events, including goal setting, logistics, and data-based evaluation of the events in consultation with key stakeholders.
    • Oversee the visit and appointment processes and coordination for EM student-facing offices.
    • Coordinate campus community involvement in events and student experience initiatives.
    • Responsible for the management of departmental and office staffing calendars.
  • CRM Management & Reporting:
    • Utilize CRM for event coordination and tracking, including registration, communication, and evaluation.
    • Ensure accurate and organized records in the CRM of all visits, events, and student interactions.
    • Provide frequent reporting on event and visit/appointment registration, attendance, and conversion to enrollment.
  • Additional related functions as required.


  • Professionally represent the university with the ability to articulate and model the Concordia University Texas mission, vision and values
  • Bachelor’s Degree required, preferably in a related field
  • 3 years’ experience with event coordination required
  • Proficiency in Microsoft Office required
  • Experience in higher education is preferred with enrollment experience preferred
  • Experience with CRM database required, TargetX or Salesforce experience preferred
  • Excellent customer-service and communication skills
  • Ability to work calmly in a fast-paced and ambiguous environment while managing multiple tasks and projects
  • Ability to exercise discretion and judgment, problem-solve and think critically
  • Ability to lead diverse groups of people and to command a room
  • Confident, self-motivated, and has a high level of determination to succeed
  • Must demonstrate the generally accepted knowledge, skills, and abilities necessary to successfully perform the jobs functions such as prioritizing projects, attention to detail, meeting deadlines and managing multiple projects


  • Non-traditional work hours including evening, weekend and peak season times required to support enrollment and other events
  • Must be able to sit or stand at a computer and be on the telephone for 5 to 7 hours a day when in the office
  • Must be able to lift up to 50 lbs.
  • Must be able to walk around campuses several times a day
  • Ability to travel off campus for coordination of errands and tasks
